Property Supervisor

Assists in the development and monitoring of company policies and procedures related to property management; responsible for recruitment, training, development, and supervision of Property Managers, and primary responsibility for ensuring the physical asset and performance of assigned properties.

Act as liaison officer between tenants and landlords regarding inquiries, concerns and/or issues on managed properties
Manage accounts & tasks in company CRM & other software the company uses
Organize & manage monitoring sheets related to property management services
Coordinate with related departments (Inspection Team. Maintenance Team, Leasing Team. Administration Team. Supervision Team, Accounts Team) all tasks against managed properties
Facilitate registration of contracts in EJARI (property management contracts & tenancy contracts)
Coordinate with Office Administrator in sharing available & upcoming properties to other agents (property valuation report, rental price, chiller inclusion, etc.)
Coordinate with relevant offices (e.g., building management, DEWA, cooling provider companies) regarding required documents (e.g.. NOCs), service charges settlement, tenant move-in and/or move-out settlement, final bill settlement for managed properties
Directly report to Line Manager all tasks, inquiries, concerns, and/or inquiries related to managed properties
To meet targets specified by direct manager (tasks related to property management) on a regular and consistent basis
To make sure that all details and documents recorded in company CRM * other software the company uses regarding managed properties are accurate
To correctly assign specific tasks to different personnel involved (e.g.. Marketing Team, Property Inspector, Leads Generating Team) thru property management software (Buildium) and ensure that these tasks are handled properly
To properly address inquiries, concerns and/or issues reported by tenants and landlords on managed properties and to provide solutions in a timely manner
To communicate inquiries, concerns and/or issues on managed properties clearly and accurately to Line Manager in order to provide the correct response to tenants and/or landlords

Maintenance Supervisor

A maintenance supervisor coordinates the installation, maintenance and repair work in buildings or large complexes. They manage a team of workers, regularly inspect sites, execute work as necessary, maintain equipment and assign workers to various projects. Completely free trial, no card required.

UAE Driver License and Own Vehicle is required.
Need to have strong problem solving and decision-making skills with a solid understanding of building maintenance, repairs, refurbishments, cleaning and managing staff.
Expected to have extreme organizational time management skills.
To performs natural leadership and possess fantastic communication skills with a great eye for detail.
Establish strategies to meet workload demands on time.
Build and strengthen relationships with vendor partners.
Responsible for inspecting the structural aspects of properties, as well as the heating, cooling, plumbing, electrical, and other systems.
Review and evaluate the overall condition of new and existing properties.
Strive to be as transparent as possible by relaying all inspection information to clients.
Work may involve data collection both electronically and on paper and data entry in various electronic program-management systems.
Communicate with realtors, homeowners and maintenance suppliers to coordinate repairs and improvements, which may include carpentry, plumbing fixes, and system reinstallation.
Oversee all repairs and ensure that work is completed on time.
Conduct follow-ups on all maintenance and repair work.
Provide on-the-ground first-hand support to customers to address issues.
Assist with maintenance tech scheduling and dispatching.
Communicate efficiently and effectively with tenants, landlords, maintenance suppliers and teammates to provide resolutions and achieve positive outcomes.
Follow up with Inspections team to ensure that maintenance issues have been resolved.
Communicate directly with our residents to troubleshoot issues and obtain permission to perform repairs.
Coordinate work orders between property inspection team and vendors.
Coordinate with clients and prepare reports about their findings.
Updating clients about progress and issues encountered.
Perform other duties as assigned.

Sales Executive

Sales executives promote products and services to clients and negotiate contracts with the aim of maximising profits. Salaries are often enhanced by a good benefits package, including commission-based earnings, bonuses, lunch allowances and sometimes health insurance and a company car.

Set up meetings with potential clients and listen to their wishes and concerns
Prepare and deliver appropriate presentations on products and services

Negotiate/close deals and handle complaints or objections

Marketing Executive

Conceiving and developing efficient and intuitive marketing strategies. Organizing and oversee advertising/communication campaigns (social media, TV etc.), exhibitions and promotional events. Conducting market research and analysis to evaluate trends, brand awareness and competition ventures.

Develops and implements strategic marketing and sales plans and forecasts to achieve corporate objectives for products and services.
Promote property through marketing initiatives
Maintain social media presence at property level and at a corporate level
Maintain accurate information on company website
Design promotional web landing pages to track effectiveness of other marketing initiatives
Managing overall sales and marketing activities that include market research, sales presentations, analysis of sales and marketing trend, and advertising and marketing promotional events
Prepare reports by collecting, analysing, and summarizing data and trends
Accomplish organization goals by eagerly accepting ownership over new and different tasks
Practice full potential of expertise such as: Search Engine Optimization, Google Ads, Google Display Ads, Google Trends, Google Analytics, Canva, Landing Page
Seek to minimize marketing expenses, develop annual forecasts
Develops and manages sales/marketing operating budgets
Manages daily growth and development of assigned campaigns
Plans and oversees advertising and promotion activities
Formulate, organise and develop marketing activities by identifying the property trend and new market opportunities

Archives Clerk

Archive clerks understand how the archive is organized. They prepare the archive records and computer databases that include descriptions of the files in the archive. An Administrator provides office support to either an individual or team and is vital for the smooth-running of a business.

File correspondence, cards, invoices, receipts, and other records in alphabetical or numerical order or according to the filing system used. Locate and remove material from file when requested.
Regularly report and keep up to date your designated manager with any pertinent information and / or developments in accordance with the Employer’s guidelines.
Diligently follow all of the Employer’s administrative guidelines and policies, which may be updated from time to time.
Handle “Property” (laptops, phones, furniture items, contracts, documents) of the employer properly and with care.
Complete governance of archives.
Keep records of materials filed or removed, using logbooks or computers.
Add new material to file records, and create new records as necessary.
Perform general office duties such as typing, operating office machines, and sorting mail.
Track materials removed from files in order to ensure that borrowed files are returned.
Gather materials to be filed from departments and employees.
Sort or classify information according to guidelines such as content, purpose, user criteria, or chronological, alphabetical, or numerical order.
Place materials into storage receptacles, such as file cabinets, boxes, bins, or drawers, according to classification and identification information.
Enter document identification codes into systems in order to determine locations of documents to be retrieved.

Leasing Consultant

Leasing consultants are rental property specialists who interact with tenants on behalf of landlords and property management companies. They assist potential and existing tenants with the viewing of properties, lease terms and prices, rental applications, and lease negotiation and renewal.

Conduct cold calling to real estate agents offering available rental properties.
Send available rental properties to contacted real estate agents thru email marketing software (ActiveCampaign) and/or messaging app (WhatsApp)
Organize viewings done by any real estate agents and-or direct clients on available rental properties thru property management software (Buildium) an monitoring sheets (Google Drive).
Follow-up real estate agents and/or direct clients on viewings conducted on any available rental properties and get status from their clients.
Facilitate in getting offers from real estate agents’ clients and/or direct clients who viewed any available rental properties.
Arrange means of getting payments (security deposit, rental cheque(s), & EJARI tenancy contract registration fee) and documents from real estate agents’ clients and/or direct client (for approved offers).
Inform new tenants everything about the contents of the tenancy contract.
Address any issues of real estate agents and/or direct clients regarding the available rental properties (e.g., service charge bills, utility bills, etc.)
To meet targets specified by direct manager (no. Of viewings, offers closed rental deals) on a regular and consistent basis.
To make sure that all details and documents being sent to real estate agents and/or direct clients regarding the available rental property are accurate.
To correctly assign specific tasks (viewings) to different personnel involved (e.g., Marketing Team, Property Inspector, Leads Generating Team) thru property management software (Buildium) and ensure that these tasks are handled properly.
To contract real estate agents and/or direct clients in a timely and orderly manner regarding any information or issues related to available rental properties and to relay it to the management, if needed.
To provide daily statistics to direct manager (no. of viewings, offers closed rental deals).

Legal Advisor

Provide counsel and advice on legal matters pertaining to agreements, leases, construction/consultancy contracts, commercial contracts, purchase agreements, licensing agreements, insurance, property matters, company law, labour law etc.

Starting salary range 6000 - 8000 AED, plus employee incentive bonus program. Arabic and English languages required.
Give accurate and timely counsel to executives on a variety of legal topics (RERA Dubai Tenancy Law, partnerships, criminal cases, corporate law, etc.)
Collaborate with management to devise efficient defense strategies
Specify internal governance policies and regularly monitor compliance
Communicate and negotiate with external parties (regulators, external counsel, public authority, etc.), creating relations of trust
Draft and solidify agreements, contracts and other legal documents to ensure the company’s full legal rights
Deal with complex matters with multiple stakeholders and force
Maintain current knowledge of alterations in legislation
Proven experience as a Legal Counsel in a business environment
Excellent knowledge and understanding of corporate law and procedures
Demonstrated ability to create legal defensive or proactive strategies
High degree of professional ethics and integrity
Sound judgment and ability to analyze situations and information
Outstanding communication skills
BSc degree in Law or J.D. degree

Property Manager

Developing and maintaining good relationships with landlords. Ensuring, as far as possible, that tenants' complaints and concerns are attended with speedily and satisfactorily.

Starting salary range 5000 - 7000 AED. Basic degree, or equivalent.
Communicating with landlords regarding all aspects of the property.
Overseeing EJARI process and drafting other necessary contracts and documents.
Settling minor disputes between landlord’s and tenants.
Arranging for collection of rent and other property fees from tenants and individual owners.
Reporting the property’s financial status, occupancy and expiring leases to property owners.
Coordinating with sales and advertising teams for advertising vacant properties and hiring a leasing agent to find tenants as needed.
Coordinating with supervision and maintenance team to Inspect properties and arranging for repairs and new materials as required.
Arranging contracts for maintenance, trash removal, landscaping, security and other ongoing services and managing disputes with these service providers where appropriate.
Investigating and resolving property complaints and rental violations.
Bachelor's degree or equivalent experience preferred.
2-3 years' experience in real estate or sales.
2-3 years' management experience a plus.
Solid knowledge of office software such as Microsoft Outlook, Excel, and Word.
Experience in Buildium software is a plus.
Language proficiency and effective communication skills.
